Procedure

We are committed to providing a professional service to all our clients and customers. When something goes wrong, we need you to tell us about it. This will help us to improve our standards.If you have a complaint, please put it in writing, including as much detail as possible. We will then respond in line with the timeframes set out below (if you feel we have not sought to address your complaints within eight weeks, you may be able to refer your complaint to the Property Ombudsman to consider without our final viewpoint on the matter).

What will happen next?

  • We will send you a letter acknowledging receipt of your complaint within three working days of receiving it, enclosing a copy of this procedure.

  • We will then investigate your complaint. This will normally be dealt with by the office manager who will review your file and speak to the member of staff who dealt with you. A formal written outcome of our investigation will be sent to you within 15 working days of sending the acknowledgement letter.

  • If, at this stage, you are still not satisfied, you should contact us again and we will arrange for a separate review to take place by a senior member of staff.

  • We will write to you within 15 working days of receiving your request for a review, confirming our final viewpoint on the matter.

  • If you are still not satisfied after the last stage of the in-house complaint procedure (or more than 8 weeks has elapsed since the complaint was first made) you can request an independent review from The Property Ombudsman without charge.

COVID-19 POLICY

Following the Government’s guidance updated on the 28th January 2022, we are delighted to be able to arrange in person appointments for viewings and appraisals. We will, of course, be adhering to the government guidance and will continue to offer virtual viewings and virtual appraisals if preferable.The safety, health and well-being of our employees and customers is still our number one priority, but we appreciate that we have a duty of care to our clients. Working Safely during Covid-19

We have taken this opportunity to provide you with our own policy to ensure our usual service can be offered safely, and with minimal risk to all parties concerned. Our policy is in line with the latest Government guidance.If property occupiers, viewers, or those wishing to book a market appraisal have had symptoms of Covid-19, or anyone within the same household has experienced any symptoms within the past 14 days, we will require proof of two negative lateral flow tests taken 24 hours apart from the 6th day of the isolation period. We will not be able to see you in our offices or arrange any appointments until then.We will strictly adhere to the following when carrying out all appointments:

Appraisals

When preparing for an appraisal, property occupiers should ensure all internal doors are open to minimise contact with door handles and ensure there are windows open in each room to ensure good ventilation is maintained.When visiting our representative will be required to use hand sanitiser or hand wipes before entering the property.Face coverings may be worn by parties if required, this down to the discretion of the property occupier and the representative.

Viewings

Those wishing to view property will be provided with a virtual viewing where available to ensure they are serious; this will minimise the number of people entering each property to keep our clients and staff safe.When a viewing is scheduled, property occupiers should ensure all internal doors are open to minimise contact with door handles and ensure there are windows open in each room to ensure good ventilation is maintained.Viewers are asked not to touch anything in the property during the viewing.Face coverings may be worn by parties if required, this down to the discretion of the property occupier, the viewer and the representative.

Greeting viewers and other people in attendance

When arriving at a property, our representative will introduce themselves as they normally would, but we advise not to shake hands.We will also not allow the touching of elbows.

During appointments

Our representative will not share pens, paper, or any other objects with anyone in attendance during appointments. When carrying out viewings they will also ask viewers not to touch anything within the property. No food or drink will be permitted to be taken into a property. Under no circumstance will the use of toilets be allowed.

==Ending appointments

Weather permitting, our representative will hold all end of appointment discussions outside of the property, maintaining social distancing. If it is raining these will take place in the largest room in the house, or if the house is very small they will ask to do this over the telephone later that day. Feedback from viewings will be provided to the property owner either by phone or email as soon as practically possible after the appointment.

After the appointment

After viewings, we advise property occupiers wait at least an hour before entering the property after a viewing has taken place to ensure a good amount of airflow and to allow the representative to ensure everything is on order before they leave. Although our representative will try to ensure nothing is touched by the viewers, and will inform them if it is by accident, we do advise wiping down door handles and hard surfaces.

Harding Laity Contractors

We contract work to trusted outside organisations for property videos, photography, floor plans and EPC assessments. All our contractors are aware of our Covid-19 safety policy and will adhere to our guidance, in addition to their own company policy. Where their own policy is available, we will supply you with a copy before arranging any appointments for them to visit your property.
